How to use templates across your organization

Templates make designing or making updates to frequently used content, like daily communications, faster and easier by providing a reusable, pre-designed framework for anyone to use.  

The Canvas Template Gallery is accessible to all team members within an organization, allowing anyone to contribute, customize, and use templates as needed for their specific projects. It's a handy resource where all your template assets are stored, helping ensure that everyone is using consistent and approved designs for their projects.

How to submit a template to the Template Gallery 

You can submit either a new or existing template to the Template Gallery by following these steps:

First, navigate to the Canvas section of your account and select ‘My Templates’.

Find the template you wish to submit and select the options button (indicated by three dots) in the top right corner.

Select ‘Publish and Share’. This action submits the template to the Template Gallery, making it available across every space in your account.

If you want to turn an existing design into a template, choose your design and select "Save as Template" using the options button (indicated by three dots). Then move on to step 4. If you would like to start from scratch, continue to the next step. 

If you would like to create a new template, go to 'My Templates' and select ‘Blank Template’ to start designing from scratch.

Once your design is complete, click 'Save'. The new template will appear in 'My Templates'.

When your template is saved in 'My Template', select the options button (indicated by three dots) in the top right corner and select ‘Publish and Share’. This action submits your new template to the Template Gallery.

In Canvas, you can choose to use pre-designed templates from ScreenCloud's design team or create your own. Once created, these templates are stored in your Template Gallery, accessible to anyone in your organization.

For companies that prefer exclusively using custom templates, you can tailor your Template Gallery by disabling ScreenCloud’s default templates. This action places your custom templates at the forefront of the gallery, making them the first visible option. 

This customization reduces the time spent searching for the right template and ensures that only company-specific content that aligns with your branding is used.

How to disable ScreenCloud default templates

1. To disable ScreenClouds default templates , first navigate to your ‘Account Settings’ and select ‘Organization’.

2. Next, disable the feature setting 'ScreenCloud Canvas Template Gallery’. Your Template Gallery will now only show templates created by your organization.

 Less is more: A simple message and a clean design can dramatically enhance the visibility and comprehension of your screen content.

Organize your templates with tags: Keep your gallery organized and tidy by using tags. This makes it easier to manage your templates and find them quickly when needed.

You can share any Channel created between Spaces within your organization. To start, first navigate to the Channels section in Studio. 

As you hover your mouse over a channel, the share icon will become visible to you. Simply click on the button to open the sharing settings window. You can also click on the share icon while previewing or editing a channel.

You will see a set of sharing permissions, this where you determine if users will be able to contribute content to your shared Channel or not. Either select if you would like to allow Spaces to view the Channel only, or allow local content to be added. 

After setting your permissions, next select which Space you would like to share the Channel with.

Shared Channels: Collaboration Enhancement 

With the Collaborative Shared Channels enhancement, content managers can now contribute content to any shared Channel, giving users the ability to curate a mix of central and local content.

If you find yourself in a situation where you need to replace your screen's device, whether it's due to a faulty device or you've decided to upgrade to a newer model, you can use the Replace Device option to seamlessly transfer your screen license to your new device without unpairing your screen.

Each device has a screen associated with it when paired to Studio. Using the Replace Device feature, you can swap out one device of an existing screen for another device without the need to delete the screen and re-pair a device. This ensures that you can manage your device fleet without losing or disrupting the content being displayed or any custom settings you configured for that screen.

In Studio, head over to a screen where you will find the "Replace Device" option. After the pairing window appears, simply enter the pairing code of the new device to take control of the screen.

Alternatively, you can choose to add a pairing code in the usual manner but select "Replace Device" instead. Then, choose from the existing list of screens and confirm.

The old device will display a pairing code as it is now de-paired, and your new device will begin displaying the content with no disruptions.

The Find & Replace feature allows you to easily replace existing media in your channels or playlists. Instead of manually removing each piece of content one by one, you can now replace a single piece of content and have it automatically updated in every location where it exists with just a few clicks.

With this feature, you gain an overview of how many times a piece of content is used and can identify where it is located among your channels and playlists.

The Find and Replace feature is designed to address the needs of our content managers, who frequently need to update items in channels and playlists, increasing their autonomy and making them more self-reliant in managing their content and network.

Please note that this feature is only compatible with media within the same space in your organization.

You will be able to see the Find & Replace option only for items that are already set within a playlist or channel. You can either click the media in a channel or playlist or simply click the item in your media library as well. To learn more, read this help article here.

First, locate the piece of media you wish to replace. You can do this by navigating to the media library or selecting an image from a channel or playlist.

You'll then be able to see the Find & Replace button. If the media item is not in a playlist or channel, the button will not appear.

Once you select the Find & Replace button, you’ll be able to see in which channels or playlists the piece of media is located. If you don't wish to switch the media in all areas where it's located, you can select to replace the content in only certain locations.

Next, simply upload your media or select what you already have available in your media library. You can also replace the selected media with different types of content, for example, a link or Canvas slide.

You’ll now see your replacement media and be able to compare the two. Hit Replace to make the change.

Your playlist and channel will now contain the new piece of media with the same display duration settings that were applied to the one that was replaced.

A: No, the Find and Replace feature is specific to the space you are replacing content in.

Q: Is there a limit to the number of channels or playlists I can replace the content with?

A: No, there is no limit. You can replace content in as many channels or playlists as needed.

Thematic Consistency with Randomness: The feature allows for the generation of randomized playback while maintaining a specific theme. This blend of variability and consistency can help keep content fresh and engaging, while still staying true to the channel's overarching theme or brand.

Start by adding a playlist to a channel. Simply navigate to the desired channel and select the "Add Playlist" option. This establishes the foundation for creating a dynamic viewing experience.

There are two options available: Playback Mode and Pick Items.
Playback Mode: Allows you to select whether to play back items sequentially (the current default behavior) or in a random order. This means that each screen will receive a different playback order when the playlist returns to the screen, enhancing variety and engagement.
Pick Items: This feature allows you to specify the number of items the playlist plays each time it appears on the screen. For instance, you can choose to play 1 or 2 items from the playlist instead of playing all of them. This functionality works seamlessly with both sequential and random playback modes, giving you the flexibility to curate a tailored content mix.

Then, select the mode in which you would like that playlist to perform.

Q: Is this feature only available in Channels?

A: Yes, you can only use this feature if you add a playlist to a channel.

Q: How do sequential and shuffle playback work when picking items? 

A: In sequential mode, the playlist picks and plays items in the order they appear. Once an item has been played, the next one in line plays when the playlist returns to the screen. In shuffle mode, the playlist selects items at random, ensuring that all items are played once before any are repeated

Quickly onboard new locations: The time spent setting up new Spaces from scratch can slow down the overall productivity of a new team and quickly become frustrating, especially when the content already exists somewhere else. If you are expanding across locations or departments, you can easily spin up entire Spaces or share template channels or playlists, accelerating the onboarding process for new teams across various sites in a timely manner.

Minimizes risk when recreating content: This is the perfect tool for anyone who needs a reliable way to recreate a Space or content, if this is their goal. With its intuitive interface and one-click duplication process, users minimize the risk of missing important information when recreating a piece of content.

Maintains consistency: Businesses can create a cohesive and unified message using the same content, down to the theme or layout. This can be important for building brand recognition and trust among customers, as well as ensuring that all employees receive the same information to avoid confusion and misinterpretation.

Enables cross-team collaboration: Duplication enables teams who work across multiple Spaces to collaborate effortlessly by allowing them to send content from one Space to another.

With the duplication feature, you can accomplish two tasks:

Duplicate channel or playlist into another Space: This includes all the content inside, providing the target Space with a complete copy.

Duplicate a Space: This duplicates the entire Space, including all media, channels, playlists, and apps (with the exception of some apps, see below).

Go to a Channel or a Playlist and click the duplication button.

Select "Duplicate to Another Space" (available in Channel/Playlist list and detail) and choose the Space or Spaces you wish to duplicate to.

Next select "Continue" to start the duplication process. The duration will depend on the size of the Channel or Playlist.

After completion, navigate to the destination Space or Spaces, and the Channel should be visible on the Channel list page. All  Playlist/Media/Apps inside the Channel will be copied over to the target space.

To duplicate a Space, first go to Account Settings and locate the Spaces tab. 

Locate the space you would like to duplicate and either select the Duplicate button on the right hand side, or select the space to view a pop up window where you can also select the duplicate button.
